- 1. Coordinate with bhajan team and ensure bhajans happen every month regularly.
- 2. Ensure availability and equipment needs for the bhajan team are met during the bhajans.
- 3. Market the event and ensure the bhajans are successful.
- 4. Network with third party bhajan teams and coordinate with them on their involvement with regular bhajans in the temple.
- 5. Coordinate and execute Ek Shaam Sai Ke Naam at remote locations.

- 11. NESSP?s Creative arts programs team is a team of volunteers that coordinate special and unique programs performed by external artists such as Live painting Jugalbandi, Musical concerts by famed artists as well as specially abled, and many more. Their contribution to NESSP has been amazing in bringing introducing new talents.
- 12. Before (For outstation artists (stay, food and travel), Post Flyer on email / website / social media, Ensure Laptop, Projector, Mikes & audio system are working fine )
- 13. During (Welcome and Invite Artist ,Introduce Artist and start the festival, Thank and felicitate artist ,Drop-off Artist, Photography Coverage, Coverage on Facebook / Video, After: checks, chairs, cleanup)
- 1. Plan every event decoration in advance with the decoration team and conducting planning meetings ahead and come up with some innovation ideas. Taking consistent feedback from team members how to design the decoration team.
- 2. Timely communicating in advance with decoration team and discuss about the decoration themes for each event.
- 3. Post and communicate the decoration sponsorship options for each event decoration to cut the expenses
- 4. Assign each decoration to sub-team members for an event and assign the decoration tasks.
- 5. Motivate and add value to the decoration team to keep them committed.
- 6. Procuring the decoration items like flowers, garlands, craft items in advance with budget given by the temple board.
- 7. For major events, contact and in touch base with local decorators to procure decoration items for free of cost
- 8. In advance, decorate the temple for each event with the help of team members.
- 9. Once the event is done coordinate with team members to remove and clean the temple.
- 10. Try to reuse the existing decoration items available in the store
- 11. Keep the inventory of the decoration items and tools used for decoration
- 1. Acknowledge, confirm and update priest service schedule .
- 2. Keep organized track of various services provided
- 3. Be a link between priest needs and devotee needs
- 4. Work amicably with Priest Service Team to create a daily, monthly and yearly calendar of events
- 5. Communicate accurately with other related teams
- 6. Create a detailed program of Temple events
- 7.Coordinate volunteer involvement in Pooja Services
- 8. Create and organize Priest Duty Schedule
- 9. Manage and be able to handle multiple services, dates and commitments in terms of Priest availability
- 10. Be able to accurately communicate with the devotee as well as with the Priest.
- 1. At least 3 weeks/1 month in advance depends on the event send an email to priest services to request the event program.
- 2. If there is any google form needed for sign up, please create one and have event team test/review it. Please check in events google drive and event team for previous years forms.
- 3. Flier/Communication/Marketing/Website Team:
- 4. Once we receive the program send an email to communication team to get the flier and also please mention the dates when the flier should be going out to devotees.
- 5. If there is any google form created by event team, provide link to comm. Team to put it on flier.
- 6. If the event is involved in any online sign up (Guru charitra/Sai Sathcharitra signup). Please ask comm. Team to open up and send it event team.
- 7. Event coordinator is responsible to test before flier goes out.
- 8. Comm. team is responsible to update the event details and flier on nessp website. If not done so please do remind them also make sure previous events details has been taken out from website.
- 9. Please make sure for any event fliers devotee information is not posted on any social network site automatically by comm. Team or marketing.
- 10. Depends on the event for single day event you can plan to get all the items list needed for the event from priest if one not available in events google drive. Check with event team what we did previous years and anything that needs to be taken care special this year.
- 11. Prepare google spreadsheet a week ahead of event with all the tasks on event day (main hall Pooja materials arrangement, crowd management, parking etc)
- 12. Arrange for event team meeting conf. call with event team and also priest services and board. If necessary depends on event, you might have to arrange event team meeting more than once.
- 13. If event coordinator has any new ideas about the event in case of implementation, should be discussed with event team ahead of time.
- 14. If there is any special Prasad (Vrat Katha Prasad etc.) need, let Bhandara team know about it.
- 15. Hiring cleaners is Bhandara team responsibility. Please check with them if its big event and needs cleaners to take care of cleaning rest of the temple along with cooked vessels etc.
- 16. If the event needs priest coordination, plan on meeting with priest services including priest and event team to go over the logistics planned on event day.
- 17. For some of the events there would be a volunteer family who will sit on main mandap and do Pooja. Usually priest services team select this family and communicates to events. Please check with priest services team in case if we have not received the family name.
- 18. Please call the family a day before to make sure they are all set to sit on main mandap and remind the time to be in the temple (30 min before the main mandap Pooja time)
- 19. If there is any reminders needs to be sent to pooja registered devotees, please do so at least two days in advance. All the communication to devotees should be going out through nesspevents@nessp.org office 365 interface.
- 20. If there are no sufficient volunteers for parking check with FM team and request FM team to hire a parking people from outside as needed.
- 21. Work with decoration team if there is any special decoration planned on event day.
- 22. On event day please be there at least an hour before the event start time or depends on the event first thing in the morning.
- 23. Try to involve other volunteers on that day for any task.
- 24. Make sure everything is put back in place of the items removed from attic or shelfs etc
- 25. For some of the events there would be token of appreciation given to Guru?s who visit the temple. Please check with finance team and arrange the check.
- 26. For some of the events we felicitate volunteers coming from outside or our priest etc. Please check with event team what to arrange and any money/silver/gold is involved check with finance team.
- 27. If event coordinator spent money towards purchasing items for the event, please submit reimburse form to finance team within 15 days of the event. Do not mix personal items purchase with temple items.
- 28. If event coordinator has to spend more than $100. Check with event team first. If it involved getting items from India check with event team first depends on the need we will communicate to finance and board.
- 29. Event coordinator is responsible from beginning to end of the event.
- 1. Closely work with Treasurer, Executive Board and Board of Trustees to help with Finance records and keep them up to date so that any audit trail can review the transactions.
- 2. Ensure PROMPT banking and ensure safety and security of all the data under the responsibility.
- 3. Ensure that checks and funds are deposited at priority and track the transactions.
- 4. Review Help the tax filings and help where ever necessary to close the items on time.
- 5. Work with teams to ensure that flow from Hundi to Cash to a acceptable time.
- 6. Interface with teams on need basis to help with finance questions and help.
- 7. Work with Info desk teams and others to ensure that the Receipts for Donations are send promptly.
- 8. Automate all the donation receipt process so it can be send to devotees as soon as the transactions are done.
- 9. Help with Monthly / Quarterly reports for finance team. Eventually work to prepare this report in demand.
- 10. Work with CPAs and other professionals as needed and provided by Treasurer to support any tasks.
- 11. Review and provide recommendations for improvement in the process of finances.
- 12. Good command on excel or like is a important, understanding of finance software is a plus.
- 13. Past handling of cash and understanding of tax is a plus.

1. Create, Manage, Review the Info Desk Schedule, and update the volunteers for Seva slots.
2. Provide training on using the clover payment process, how to charge for services and store items.
3. Work with Youth volunteer to engage them for Seva opportunities for the information desk.
4. Work with current and new volunteers to ensure that volunteers handle the busy hours.
5. Work with enhancing the devotee experience by support from the seva volunteers.
6. For special days organize the desk in preparation of devotee needs.

1. Review the inventory and plan for the new orders.
2. Understand current trends on the sale and review item sale trends.
3. Create a bar code-based system so better inventory can be managed.
4. Work to get store supplies in time.
5. Create a web page with the items with the communication team.
6. If needed work with any mentors to build a reliable strong process and system.

Marketing: Group of volunteers coordinate to spread the temple information and happenings such as Temple pooja details, Events, Bhandara services, Community services, Fundraising (donation options), and Special programs across New England area. Also, Community Building and Network with other local organizations and meet the teams of other organizations to get them updated on NESSP.
- 2. Fundraising: Raising funds for the temple needs and for temple loan payments by creating fundraising options and get devotees signed up for them. Also contacting potential donors and community leaders to get some funds for the temple.

- 1. Have the overall responsibilities of the temple wellbeing and its upkeep and ensure the temple infrastructure is maintained.
- 2. Regular maintenance of Temple Equipment like HVAC, Elevators, Electricals, Plumbing systems, Fire Alarms, Septic System, Storm Drains, appliances etc. are regularly maintained and serviced.
- 3. All Lawns and landscaped areas are maintained regularly and Sprinkler system is also maintained and winterize every winter.
- 4. Ensure Janitorial services are performed regularly, and trash picked up by Trash company.
- 5. Schedules for FM?s every day is generated, maintained and the job duties of the FM?s are executed every day.
- 6. Responsibility of other equipment like Thermostats are vested in this team.
- 7. Any specific security and safety procedures are documented and executed.
- 8. Ensure the limitation and restrictions from the town/Government are adhered to like the fire safety and evacuation procedures, occupational limits, etc...

In order to prevent person to person spread of COVID-19 and for the safety of devotees, priest and volunteers and to be compliant with State of Massachusetts guidelines. Your co operation, understanding and support are highly appreciated to follow these policies.
Devotees must wear masks. No devotees will be allowed into the temple without mask without any exceptions.
